Space Request
There are various spaces on campus for Registered Student Organizations (RSO). The Center for Student Involvement has links, information, and contact information to various offices that manages these spaces. Please read details below.
Fall 2023

- Be sure to have your event details.
- Event details, number of people, set-up, timeline, diagram, etc. Great information is on the Meetings & Conferences website to help you plan.
- Go to your student organization group in UIC Connection
- You must be an "officer" of your student organization and select "Manage Organization"
- How to create/manage your event in UIC Connection: https://help.campusgroups.com/en/articles/1105581-how-to-create-an-event. You need to be an officer to create an event. Go to your group > select the gear icon > select events > create event
- Under “Events”, if you do not see the “Create Event” button, you are not authorized to request space.
- The first page is basic event information. On the second page, you will complete additional event information depending on the type of space you are requesting.

- Upon event approval, your event will be emailed to the person who requested the space and be posted in UIC Connection.
- Events are not considered confirmed until the person who requested the space has received an email confirmation from the Office of Meetings & Conferences.
- Per Meetings and Conferences: PLEASE NOTE: Rooms are provided free of charge (except the Illinois Room) and equipment is offered at a discounted rate only for Registered Student Organizations (RSO) using the space for their organization or with other UIC students. If your organization is partnering with a campus department, the campus department rate will be charged for both the room costs and equipment costs. If your organization is partnering with a non-university group, you will be charged at the affiliated rate for rooms and equipment. If your event has more than 50% non-UIC attendees, you will be charged the affiliated rate for rooms and equipment. Meetings and Conferences reserves the right to determine the rate that your organization will be charged. If you reserve space for your organization and it is determined at a later date that the event was coordinated with a campus department or outside organization, the costs listed will be added to your reservation.
- For cancellations/no shows: "Cancellations must be made in writing via email to uicmeetingsandconferences@gmail.com. Failure to cancel an event and/or not showing up for a reserved event will result in a fine and disciplinary actions. The first occurrence will result in a warning and a $25.00 fine. The second occurrence will result in a $25.00 fine and a two week suspension with cancellation of any events during that time period. Additional charges may be added for rooms with custom set ups. The third occurrence will result in a $50 fine plus a sixteen week suspension with cancellation on any events during that time period."
- Pay your invoices with the Office of Meetings & Conferences. Be sure to get a receipt of payment. Payments for events should be made prior to the event and must be paid within 30 days of the event. Failure to pay within 30 days may result in loss of privileges to reserve rooms and cancellation of future reserved events and until the balance is paid.

Classrooms requests will be accepted for 2023-2024 starting on September 4, 2023.
- In partnership with UIC Classroom Services, we will accept classroom requests for selected academic buildings in Fall 2022 (September 8 to December 1, 2023) and Spring 2024 (January 29 to April 26, 2024) from 6pm to 9pm on Mondays to Thursdays and 5-9pm on Fridays. These classroom spaces will not be used for events. No food will be allowed. We will also have a full-time staff member managing these spaces in the evening.
- Starting on September 4, 2023, you may reserve a classroom space for your next meeting (no events), go to UIC Connection https://connect.uic.edu

- UIC must continue to monitor events and ensure that all event plans meet the current, appropriate safety guidance.
- If anyone from your event informs you that they have been exposed to a suspected or confirmed COVID-positive person, recently returned from out-of-state travel, tested positive for COVID-19, or developed symptoms of COVID-19, please instruct them to follow the instructions in the UIC COVID-19 Reporting Decision Tool.
